Instructions for Candidates Participating in a Structured Oral Exam

  • Candidates are encouraged to bring their own beverages and food snacks
  • It is important to note that should technical problems arise with Zoom links beyond our control, your exam will be rescheduled to the end of the exam in order to continue with the already scheduled examinations
  • Candidates are requested to bring enough food and beverage in the case of this eventuality
  •  Bottled water will be available at the venue

  • Candidates are expected to be Zoom-literate before presenting for the exam
  • Zoom training was sent by email to all candidates prior to the exam date
  • Candidates were expected to do the training on their own
  • Candidates will receive assistance during the Zoom calls: Procedure for conducting a Zoom call

  • Candidates must hand in all electronic devices on arrival at the exam venue smartwatches, mobile phones, e-readers, tablets and laptops
  • Candidates will be directed to the pre-exam waiting area before the exam commences
  • Candidates must remain in this area while waiting to be examined
  • Candidates are welcome to visit the cloakroom before their exam is due to start
  • Candidates may read paper notes, paper books or magazines while waiting for the exam to commence
  • Candidates presenting for different exams on the same day at the same time may wait
    in the same pre-exam waiting area
  • Invigilators will inform candidates of the approximate starting time of their exam
  • Candidates will be called by an invigilator about 10 minutes before their exam is due to start
  • Candidates will need to bring their own ID and candidate cards in order for registration to take place

Candidates are to be advised that there is a possibility of an Observer on site for the duration of an examination who will be face to face or connecting via Zoom and will be present for observing purposes only and have no involvements with regards to marking and the examination

  • Invigilators will log into each Zoom call required for the examination of candidates
  • Examiners will screen share and control the PowerPoint presentations during the Zoom call
  • Candidates will only control aPowerPoint presentation during a Zoom call if they were asked to prepare one as part of the examination process
  • Candidates may be asked to use the screen pointer to show specific features on an
    image in the PowerPoint presentation – they will be guided to do so if needed
  • Candidates will be told to ring a bell or come to the door to alert the invigilator if
    o the Zoom call is disconnected
    o there is any problem with the computer
    o there is any other problem during the exam
  •  Invigilators will be available outside the office door should candidates need assistance
  • Invigilators will log off the Zoom call after informing the examiners that the call is being ended

Invigilators will fetch candidates from the pre-exam waiting area when the exam is
ready to start
• Candidates are to note that all Zoom calls with examiners will be recorded
• Candidates will wait on a chair outside the exam office whilst the invigilator logs into
the Zoom call
• Invigilators will greet and orient the examiners and check that the call is stable
• Candidates will be told to ring a bell or come to the door to alert the invigilator if
o the Zoom call is disconnected
o there is any problem with the computer
o there is any other problem during the exam
• Invigilators will introduce candidates to the examiners
• Invigilators will explain the time alert system to candidates
o Invigilators will alert candidates and examiners of the remaining examination
time by
▪ Knocking on the door and entering the exam room
▪ Clearly stating that 5 minutes or 1 minute of examination time remains
▪ Clearly stating that the examination time is over
• Invigilator will check that the exam starts, start timing the exam and leave the room
• Invigilators will be available outside the office door should candidates need assistance
• Invigilators will enter the room once the exam time has been completed
• Invigilators will log off the Zoom call after informing the examiners that the call is being
ended
• Invigilators will usher candidates out of the room to wait for the next call
• Candidates will wait on a chair outside the exam office while invigilators log into the
next Zoom call
• This process will be repeated until candidates have completed all the required Zoom
calls for the exam

  • Once the exam has been completed candidates will return to the post-exam waiting area
  • Candidates will wait in this area until the last candidate has started the exam
  • When instructed by an invigilator, candidates will leave the exam venue
  • Candidates will receive all personal items, handed in at the start of the exam, before leaving the exam venue
  • Candidates should check that all items have been returned
  • Candidates should check the exam venue for all personal items before leaving
  • Candidates may not ask invigilators about their performance in the exam

  • Candidates should call an exam venue if they realise that they left personal items at the venue
  • Should any items be found they will be handed in for safe keeping
  • Candidates will be contacted and asked to fetch the items
  • Candidates should immediately return to the exam venue to fetch personal items left behind
  • Candidates may be subjected to Health and Safety requirements when they return to the venue to fetch their personal items.

  • Candidates who are likely to arrive late for an exam (accident, roadblock, traffic, etc.) should make every effort to contact the exam invigilator and inform them of the problem
  • The contact number for each exam venue is on the exam time table each candidate received by email
  • Upon arrival the invigilator needs to determine whether the candidate can still be slotted into their usual position in the exam (less than 10 minutes late)
  • If a candidate is more than 10 minutes late, the examiners will be informed that the
    candidate has missed the Zoom call and that an additional Zoom call will be added at the end of the exam
  • The candidate will be ushered to the pre-exam area to await further information about the missed call and will continue with the other calls as scheduled
  • The CMSA Zoom call host who booked the calls for the respective exam will be informed and a new Zoom call will be set up for the end of the exam
  • During the “tea break” the examiners will be informed that the examination has a late candidate who will require examination at the end of the process
  • The post-exam examiners’ meeting will be delayed to accommodate the late candidate

  • Invigilators will reassure candidates that the exam will continue
  • Invigilators will inform the examiners by mobile phone that a Zoom call has been disconnected
  • Invigilators will ask examiners who have not been disconnected to stay on the call
  • Invigilators will try to reconnect the dropped call using the Zoom link on the laptop
  • If reconnection fails, Invigilators will
    o Usher candidates out of the office and ask them to wait in the chair at the door
    o Close the office door
    o Inform the CMSA Zoom call host (person who booked the calls) of the dropped call
    o Inform examiners that a new call will be booked with new login details by email
    o Ask all examiners to log off the existing call
    o Inform the CMSA Zoom call host of the details of the laptop that has dropped the call
  • CMSA Zoom call host will book a new call and send the invitation to the examiners
  • CMSA Zoom call host will give the login details to the invigilator - screen shot on mobile phone
  • Examiners need to go to the email link and log in to the new call
  • Invigilators will log in the new call for candidates at the exam venue
  • Invigilators will invite candidates back into the office
  • Invigilators will re-establish the connection between examiners and candidates
  • Invigilators will continue timing the exam (from when it was disconnected) and add an additional 5 minutes to the remaining time to “settle the nerves of the candidates and the examiners”
  • Invigilator will adjust the timetable to make up for the time lost on the dropped call
  • Invigilators will inform all the examiners of the adjusted timetable, if needed (> 10 minutes delay)

This is an oral examination undertaken in disciplines in which an examiner poses questions to the candidate in spoken form. The candidate must answer the question in such a way as to demonstrate sufficient knowledge of the subject in order to pass the examination.
